A conference shuttle that keeps its headway, executives arriving in the right order at the right door, and one dispatcher holding the whole schedule on a direct number. Vans, SUVs and sedans out of a ninety-nine-vehicle fleet, run to a plan agreed before the day rather than improvised on it.

01 — The work

Event transport is a timetable problem dressed up as a car booking.

Two hundred people leaving a hotel for a venue eight minutes away is not hard because of the distance. It is hard because they all leave at once, the forecourt holds two vehicles, and the first session starts whether or not the last van has arrived.

What this is. Chauffeured ground transport for company events across Los Angeles County, Orange County and San Diego — conferences and summits, offsites and team days, board and investor mornings, client dinners, awards evenings, and the airport arrivals and departures either side of all of it. One operator, one schedule, one invoice.

What we plan before the date. Where vehicles stage without blocking a forecourt, how long a loaded van actually takes on your route at that hour rather than at noon, which door the executives use, and how many vehicles the loop needs to keep its headway when a session overruns by fifteen minutes. That conversation takes twenty minutes on the phone and removes most of what goes wrong.

Who you deal with. One dispatcher for the whole event, on a direct number, able to see every vehicle assigned to you. Your coordinator never chases individual drivers and never holds a list of phone numbers — if a session runs late, one call moves everything.

What we are not. We are a licensed chauffeur operator, not an event production company, and we hold no credentials or standing arrangements with any venue, hotel or organiser. Where your venue has a loading protocol or a marshalled forecourt, we work to it.

Agree the timings once, in advance, with the person who will actually be dispatching the vehicles. Everything else on the day is just execution.

02 — Shuttle loops

A loop that holds its headway for as long as you need it.

The standard answer for a hotel-to-venue movement: one or more Sprinters running continuously on a published interval, with a dispatcher watching the loop rather than a driver guessing at it.

A headway, not a guess
You tell us the head count and the window; we work out how many vans hold a ten, fifteen or twenty-minute interval on your actual route at that hour. Attendees get a departure time they can rely on instead of a queue.
A staging point that is not the front door
Vehicles wait somewhere agreed in advance and come forward when they are needed, so your forecourt is never holding three empty vans while the doorman works around them.
Capacity added, not apologised for
If a session ends early or a queue builds, dispatch adds a vehicle from the fleet rather than telling you to wait for the loop to come round. Ninety-nine vehicles is the reason that is a real option.
Luggage on departure day
The rear bay behind the last row means checkout morning does not turn into cases on laps. On a heavy departure we run a luggage-first vehicle ahead of the passenger loop.
A chauffeur who loads
Doors, cases and a count at each stop. Nobody from your team stands in a driveway with a clipboard, and no attendee lifts a bag into a van.
One number for the whole loop
Your coordinator calls the dispatcher, not the drivers. Timing changes, an extra run, an early finish — one call and the loop adjusts.

Loops are booked hourly per vehicle, three-hour minimum. For a small offsite one van running as-directed is usually cheaper than a published loop — we will say which fits.

03 — Arrivals and departures

The four movements every event actually has.

Most corporate events reduce to these. Priced and dispatched separately, run to the same schedule.

Inbound from the airport

Speakers, executives and visiting clients met at LAX, Van Nuys or Burbank with flights tracked and thirty minutes of wait time from wheels-down. Several arrivals inside one afternoon is a normal dispatch, not a special request.

Hotel to venue, and back

The shuttle loop above, or single van runs where the group is small. The return leg is the one people underestimate — a room empties faster than it fills, so we hold more capacity at the end of the day than at the start.

Staged executive arrivals

Board members, investors and principals in sedans on their own timings, spaced so the entrance handles one vehicle at a time. Chauffeurs know the door before they leave the yard.

Dinners and evening moves

Client dinners, awards evenings and after-parties with the vehicle on call rather than dismissed and re-summoned. Chauffeurs wait out of the way and appear when your host says the word.

04 — The vehicles

One fleet, so the whole event comes from the same yard.

Vans for the room, SUVs for luggage and small groups, sedans for the people arriving on their own schedule. Same upkeep, same standard, no subcontracted vehicle appearing at the back of the queue.

05 — Pricing, in the open

What event transport costs, before you sign anything.

Shuttles and as-directed
From $85 per hour per vehicle, three-hour minimum. Every loop and every held vehicle is priced this way.
Single transfers
Quoted point to point where that is cheaper than hourly — $125 to $525 on published runs. The table is on set-price routes.
Airport arrivals
Set prices by area, thirty minutes of wait time included from wheels-down. Detail on airport transfers.
Per attendee
Nothing. You are paying for vehicles and hours, not head count.
Night, weekend and surge
No premium. An awards evening running to 1am is priced at the same hourly rate as a Tuesday morning offsite.
Planning
No charge. The call where we work out vehicle counts and headways is part of the booking, not a consultancy line.
Billing
One itemised invoice to the company with your cost centre or project reference, so no attendee is out of pocket and nobody files an expense claim.
Not included
Tolls, airport and venue parking, and gratuity — quoted separately so the hourly rate stays the hourly rate.

06 — Questions

What event coordinators ask before they book.

Two to four weeks for a normal conference or offsite, and earlier for award season or anything overlapping a festival or a match day. We can often cover short notice, but vehicle choice narrows once the date is close — the vans go first.
